Terms of Service

These terms apply when a business uses AI Support Copilot, including the free 7-day trial. By starting a trial or a paid subscription, you agree to them on behalf of your business. If you do not agree, please do not use the service.
1. Who we are
AI Support Copilot is operated by Thomas Volz, sole proprietor, No. 8, Unit No. J1-B06-09, Moo 6, Surasak Sub-district, Sriracha District, Chonburi 20110, Thailand ("we", "us"). Contact: hello@getaisupportcopilot.com.
2. Business customers only
The service is offered only to businesses, such as online stores, for use in their business. It is not offered to consumers. By ordering, you confirm that you act on behalf of a business.
3. What the service does
AI Support Copilot is hosted software. It reads new emails in the support inbox you connect and writes reply drafts in Gmail, based on the store policies you give us.
- The service only creates drafts. It does not send emails. You review and send every reply.
- It does not issue refunds, cancellations or replacements, and it does not change orders, addresses or accounts.
- When no approved policy fits an email, no draft is created.
- It does not connect to your order, shipping or tracking systems.
The connection to your inbox runs in an automation account (Make) that belongs to your business. Our drafting service is accessed with a personal access key that we issue to you.
4. Your part
- You give us store policies that are accurate and up to date, and you tell us when they change.
- You read each draft before sending it. You are responsible for what you send to your customers.
- You confirm that you are allowed to connect the inbox and to have its emails processed for this purpose, and that your own privacy notice to your customers covers it.
- You keep your access key private and pay for your own Make account.
5. Acceptable use
You may not use the service:
- for anything illegal, fraudulent or deceptive;
- to send spam or bulk email, or to harass or mislead anyone;
- to process data you are not allowed to process;
- to try to break, overload, copy or reverse engineer the service, or to get around its limits;
- by sharing your access key with anyone outside your business.
6. The free 7-day trial
The trial is free and lasts 7 days from the day your workflow goes live. Either side can end it at any time. If you decide not to continue, we switch off your access and you pay nothing.
7. Fees and minimum term
- Setup: $199, one-time, charged only after the trial and only if you choose to continue.
- Subscription: $149 per month, billed monthly in advance, starting when you continue after the trial. It includes AI drafting, monitoring and fixes, a monthly usage report and up to 2 policy updates per month, for up to 300 processed emails per month and up to 10 policy topics.
- Minimum term: the subscription has a minimum term of 3 months. After that it continues month to month, and you can cancel at any time with effect at the end of the month already paid.
- Money-back guarantee: within 14 days of your first payment, you can get it back in full, as described in our Refund Policy.
- Prices are in US dollars. Taxes are added where they apply.
- Your Make subscription is billed by Make directly and is not part of our fees.
8. Payment
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
If a payment fails, we may pause your access until it is paid. Refunds are described in our Refund Policy.
9. Our software and your data
The software, prompts, templates, configurations and documentation we provide remain our property. While your subscription is active, we grant you a limited, non-exclusive, non-transferable right to use them for your own business. That right ends when your subscription ends. You may not copy, resell or pass them on to third parties.
Your emails, store policies and other material you provide remain yours. We process your support emails only on your behalf and only to run the service, as described in our Privacy Policy. A data processing agreement is available on request.
10. Third-party services
The service depends on Google (Gmail and Google Workspace), Make, Cloudflare and OpenAI. Their own terms apply to their services. We are not responsible for outages or changes on their side, but we will tell you if one affects your workflow and fix what we can.
11. No guarantee on drafts
Drafts are written automatically and can contain mistakes. That is why every draft waits for your review. The service is provided as is, without any promise that it will be error-free or uninterrupted.
12. Limitation of liability
To the extent the law allows, our total liability for any claim connected to the service is limited to the fees you paid us in the three months before the claim. We are not liable for indirect or consequential losses, such as lost profit or lost business, or for the content of emails you send.
13. Pausing and ending the service
We may pause your access if a payment fails, if you break section 5, or if we see signs of fraud or abuse. We tell you why, and we switch it back on once the problem is solved.
You can cancel by email, subject to the minimum term in section 7 and the money-back guarantee in our Refund Policy. We may end the service with 30 days' notice, or immediately if you seriously breach these terms. When the service ends, we switch off your access key and delete your data as described in the Privacy Policy. You can remove inbox access yourself in your Google Account at any time.
14. Changes to these terms
If we change these terms, we tell existing customers by email at least 30 days before the change applies.
15. Governing law
These terms are governed by the laws of Thailand.
